About the Role

The purpose of the position is to oversee and manage the payroll processes for Drake New Zealand to ensure that all Drake Fieldstaff Employees (FSEs) are paid accurately and on time, and that all statutory and contractual obligations are met.

The position holder is also tasked with maintaining and improving the payroll systems, procedures, and controls, and providing support to the National Payroll Manager and the branch network.

Key Responsibilities Include

  • Data entering and updating FSE Bank, Tax, Kiwisaver & Visa information correctly into Datacom, to ensure that delays do not occur when importing timesheet batches
  • Ensuring all timesheets received via 1Staff GP, Webtime, CareCall are accurately processed on a timely basis to meet Payrun deadlines
  • Ensuring that only manual timesheets that are authorised by the Clients and Branches are processed.
  • Ensuring all leave spreadsheets received from the branches on a Friday are accurately processes and imported into Datacom
  • Checking payroll reports for any discrepancies prior to locking the payrun
  • Data entering all deductions onto employee files weekly and maintaining backups on the Payroll SharePoint
  • Maintaining deadlines that have been established for receiving approved timesheets and payrun deadlines
  • Reconciling deductions from the payruns and Journal once a month
  • Processing any reversals for overpayments that have been recovered in a payrun
  • Processing adjustments and overpayment figures for the branches
  • Providing FSEs with access to their payslips and assisting with resetting logins as required
  • Responding to any pay enquiries from Consultants, IRD, WINZ and any other government departments
  • Completing PAYE payment journals twice a month, to ensure Accounts Payable can make payments to IRD on the 5th and 20th of each month or as required
  • Ensuring non-compliance reports are completed weekly and advising the National Payroll Manager when it is ready to be emailed to the branches
  • Completing the payrun numbers spreadsheet on a weekly basis to record the number of candidates and timesheets processed in each payrun. Adding any discrepancies to the non-compliance report
  • Completing ad hoc payroll tasks and other duties relating to your role as assigned

General

  • Ensuring full compliance with Drake's Standard Operating Procedures and Corporate Policies
  • Participating in any on-going training, meetings, conferences, events and/or performance improvement plans as required
  • Contributing to a healthy corporate/team environment that is conducive to high morale and satisfactory interaction between all Drake employees
  • Uphold and demonstrate the Drake values at all times

Skills and Experience

  • Minimum 2 years' experience managing the payroll function of a mid to large organisation in NZ
  • Relevant tertiary qualification e.g., accounting, finance, business studies or a related field
  • Payroll certification or membership of a professional payroll body (e.g., NZPPA) is desirable
  • Strong knowledge of payroll legislation, regulations, and employment agreements in NZ
  • Experience with computerised payroll systems, preferably Datacom, 1Staff GP, Webtime or CareCall
  • Proven analytical skills and problem-solving abilities
  • Accurate data entry skills
  • Excellent time management skills and ability to prioritise workloads
  • Confidence to deal with a range of stakeholders
  • Leadership and team management skills
